Practical response guide. Use this to prepare decisions and evidence requests. Collection and containment must follow your organisation’s authority and secure handling arrangements.
Make reporting easy enough to get the facts
If an employee reports uploading a document to an unapproved AI service, begin by preserving the facts rather than demanding deletion of everything. Ask what service and account were used, when the upload happened, what was submitted and whether a link or output was shared. Explain the secure reporting route and avoid asking them to send the document again by ordinary email.
Separate an internal policy breach from confirmed disclosure to another person. Both may require action, but they are not identical findings. The employee’s recollection is a starting point; corroborate material details where proportionate and authorised.

Identify the product and account context
A familiar brand can offer consumer, business and enterprise services with different arrangements. Record the exact product, account type and organisation relationship. Review the applicable settings and terms with the appropriate owner instead of assuming that every version handles data the same way.
| Question | Why it matters |
|---|---|
| Which account submitted the data? | Establish ownership and available administration |
| What exact material was uploaded? | Bound the sensitivity and affected population |
| Was a share link created? | Identify a possible additional disclosure path |
| Was another tool or connector involved? | Determine whether access extends beyond the upload |

Preserve a minimum useful evidence set
Record the interaction identifiers, relevant timestamps, file identity and available sharing history. Where content must be retained, use the approved evidence store and restrict access. A screenshot can help document an observation, but it may not establish the complete interaction or access history.
Avoid collecting an employee’s entire personal account merely because one business document is involved. Agree the scope and handling with the relevant internal advisers. Record unavailable evidence explicitly and identify whether the provider can assist through an authorised support process.

Contain continued access without erasing the trail
Consider the ongoing paths: an active share link, an integration permission, an uploaded file or a connected repository. Request appropriate removal or access changes after preservation where feasible. Record what was requested, when and any provider confirmation. A deleted item in the interface does not by itself prove every retained copy has disappeared.
If the material contains credentials, treat those secrets as a separate access risk and coordinate replacement. If a connector has broader permissions than intended, assess its authority rather than limiting the review to the single document that triggered the report.

Give privacy and business owners a bounded assessment
Describe the data categories, source owner, service context, known recipients and relevant retention uncertainty. Distinguish what is confirmed from what depends on provider information. Legal and privacy teams can then assess obligations using the actual facts and applicable arrangements.
- Maintain a timeline with evidence references.
- State the confirmed material and possible additional scope separately.
- Assign an owner for provider enquiries and unresolved questions.
- Document containment and any residual access or retention uncertainty.

Replace the unsafe workflow with a usable one
A blanket reminder may not address why staff used the service. Identify the business task and provide an approved path with appropriate data handling. Make account selection, upload restrictions and reporting expectations understandable. Validate the relevant control and ensure the team knows how to get help without hiding mistakes.
Use a short exercise to check that a future report reaches the right owners. Our AI incident tabletop service can test these decisions without uploading real sensitive data. The response plan guide helps assign roles before another event.

Get help with the investigation
Atlant Security provides support for this response workstream as part of our AI incident response services. Start with the affected system, observed behaviour, business impact and urgency. We confirm availability, scope and a secure evidence channel before work begins.
